Quote templates

A quote template is a named, reusable line set that sellers apply to a new quote with one command. Administrators create templates in the Configuration area, publish them when they are ready, and publish a new version when the standard offer changes.

Create a template

  1. In the Deal Desk app, switch to the Configuration area and choose Quote Templates.
  2. Create a New template with a Name sellers will recognize (for example, Standard Machining Cell) and an optional Description. New templates start with a Status of Draft.
  3. Add template lines. Each line has a Product (required), a Default Quantity, a Default Discount %, a Section Name, a Section Sequence, and a Sequence within the section.
  4. Use sequence numbers in gaps of 10 (10, 20, 30) so a line can be inserted later without renumbering.

Publish it

Sellers can apply only templates whose Status is Published. Keep a template in Draft while you assemble it, set it to Published when it is ready, and set it to Retired when it should no longer be offered. Retiring a template does not touch quotes built from it.

Versioning

Templates carry a Version number, and applying a template copies its lines onto the quote. Publishing a new version therefore never rewrites quotes already built from the old one: sellers keep exactly the lines they sent. To change a template that sellers are already using, create the next version (a new template with the same name and a higher Version number), publish it, and retire the old one, rather than editing the lines of a version that is in use.

Sections on apply

Template lines carry their Section Name and Section Sequence inline. When a seller applies the template, Deal Desk 365 creates the sections on the quote and places each line in its section, so the quote arrives grouped the way the customer will read it. See Build a quote from a template.

Who can edit templates

Templates are part of the desk's configuration owned by the Deal Desk Administrator role. The Deal Desk Seller role can also create and edit templates; the Deal Desk Approver role cannot. See Roles and permissions.
